Billing, Cancellation & Refund Policy
This policy explains general rules for pricing, payment, project activation, cancellation and refunds. Project-specific commercial documents take priority where they lawfully provide more specific terms.
Pricing
Project prices, milestones and payment schedules are stated in the applicable quotation, proposal, order form, statement of work or other written commercial agreement. Website descriptions do not create a fixed price unless expressly stated.
Third-Party Costs
Hosting, APIs, communications, AI models, payment services, licences and other provider charges may be separate. Under HITCHNOVA's zero-capital operating model, the client may be required to purchase or maintain such services directly with the provider.
Payment Verification Gate
Final delivery, production activation, transfer of project assets, release of credentials or deployment to a client-controlled environment may be conditional on verified receipt of the agreed payment.
Cancellation
If a client cancels after work has started, HITCHNOVA may charge for work already completed and for non-refundable third-party costs lawfully incurred for the project, subject to mandatory rights that cannot lawfully be excluded.
Refunds
A refund is not automatically due merely because an AI output is disliked, a forecasted business result is not achieved, a third-party provider changes its service, or the client changes scope after approved work has been completed. Material non-delivery, material defects, duplicate or erroneous charges and mandatory statutory rights should be handled according to the applicable agreement and law.
Scope Changes
Requests outside the approved scope may require a revised quotation, additional timeline or new milestone. Unlimited revisions are not included unless the written agreement says so.
Third-Party Refunds
Where the client pays a third-party provider directly, any refund of those fees is governed by that provider's own terms. HITCHNOVA cannot guarantee reimbursement of amounts paid directly to third parties.
Billing Disputes
Clients should raise billing concerns through the official contact channel with the relevant quotation, invoice, payment reference and explanation. Material billing disputes should be investigated and recorded.
